Camera Storage Workflow
A good storage workflow ensures that your photos and videos are safe from the moment you press the shutter to years after you take them. Memory cards can fail, hard drives can crash, and files can be accidentally deleted. A proper workflow protects against all of these risks through redundancy, organization, and regular backups. The time to think about storage is before you take your first shot, not after you lose your images.
The first step happens in-camera. If your camera has dual card slots, use them. The most common configuration is to set one slot as a backup, writing the same files to both cards simultaneously. This means if one card fails, you have an instant copy. The second slot can also be set to overflow, continuing the recording when the first card fills up, or to separate raw files and JPEGs. Backup recording is the safest option and requires no extra effort once set up.
When you get home, transfer your files to your computer using a card reader connected directly to the computer, not through the camera. Card readers are faster and do not drain the camera battery. Import into your photo management software like Lightroom or Capture One, and copy the files to your primary working drive. Do not delete the memory cards until the files are safely stored in at least two locations.
The three-two-one backup rule is the gold standard. Three copies of your data, on two different types of media, with one copy stored offsite. Your working copy is on your computer's internal drive or a fast external SSD. The second copy is on a separate external hard drive. The third copy is offsite, either cloud storage or a hard drive kept at a different location. Regular backups, automated if possible, ensure you never lose more than a day or two of work.
Organize your files with a consistent folder structure. A simple year-month-day description naming convention works well. Inside each folder, keep the original file names from the camera because they contain unique identifiers. Your photo management software can handle renaming and organization through catalogs and keywords. Tag important images with keywords as you import them. This makes finding specific images years later much easier than searching through thousands of numbered files.
